How to add an administrative proxy via the occupant listing page

An administrative proxy is used when a resident or voter opts for the mail-in ballot option. In this case, the manager casts the vote on behalf of the voter, following the choices specified in the mail-in ballot.


When a proxy vote is cast, the manager's name appears in the results, clearly indicating that the vote was submitted as a proxy.

Steps to Add an Administrative Proxy

1. Navigate to Ballot Admin

From your Ballot Bliss dashboard, go to Resources and click on Ballot Admin.


2. Access the Ballot Participation List

On the Community Ballots page, find the ballot you want to cast a proxy vote for and click Participation

3. Open the Manual Vote Entry

The page will default to showing residents who haven’t voted yet. Click on Manually Add Vote.


4. Find the Voter

Use the search bar to quickly locate the voter’s name. Once found, click the pencil icon next to their name. If the voter owns multiple units, the manager can submit proxy votes for all units in the same session - no need to repeat the process for each one.


5. Accept the Terms and Conditions

The ballot will open. Before casting the vote, check the box to agree to the Terms and Conditions for submitting a proxy vote.




6. Enter the Voter’s Choices

On the same page, enter the vote(s) based on the selections provided by the voter in their mail-in ballot, then click Submit. The manager can choose to send the voter an email notification to inform them of the vote by checking the ‘Send the designated email receipt’ box.

Important Note:
You can also attach a document to the proxy submission, such as a signed proxy form that authorizes management to vote on the resident’s behalf - for added record-keeping and transparency.

If multiple ballots are listed, match the title or dates carefully with the mail-in ballot!

And that’s it! The vote has now been successfully submitted on behalf of the voter and recorded as a proxy in the results.
